Administrative Marketing Coordinator – with French – Iasi, Romania

We are seeking an experienced and highly organized Administrative Marketing Coordinator to join our team. This role involves managing various administrative tasks to ensure the smooth functioning of our office, as well as supporting the marketing manager in executing marketing and business development activities.

Administrative Responsibilities:

  • Organize and coordinate all administrative activities to facilitate the efficient operation of the office.
  • Review planned orders, create requisitions for purchased items, and manage the approval process.
  • Handle banking activities, including processing bank statements monthly, balancing yearly reports, and managing bill payments.
  • Register project documentation in compliance with company procedures, providing necessary documentation to key stakeholders and internal teams.
  • Liaise with third-party providers, clients, and suppliers to facilitate seamless communication and operations.
  • Maintain a systematic project numbering system and keep historical records of all project documentation, archiving them on Project SharePoint and/or online project management software.
  • Conduct regular review audits to ensure accuracy and currency of information in all records.
  • Update and maintain procedural documentation to ensure processes are well-documented and up-to-date.
  • Manage office stationery procurement and maintain records of collections and disbursements.
  • Maintain a Human Resources Information System (HRIS) to track and report employee data, such as sick days, vacation days, banked overtime, and hours worked.

Marketing Responsibilities:

  • Assist the marketing manager in day-to-day marketing activities to promote the company’s services and products.
  • Contribute to the development of the annual sales and marketing plan, supporting the overall business goals.
  • Prepare and administer tender documents, ensuring compliance with all regulations and requirements.
  • Collaborate with various stakeholders to ensure timely submission of tender documentation.
  • Prepare and participate in client presentations to showcase our products and services.
  • Establish, develop, and maintain positive business and customer relationships to enhance the company’s reputation and market presence.
  • Enter and update information into digital platforms as required to maintain accurate and up-to-date records.
  • Monitor industry developments and competitor activity to inform marketing strategies and make recommendations for improvements.
