Mechelen – Administrative Officer

Blue Projects is currently looking to enlarge its team in Mechelen with a proactive Receptionist/ Administrative Officer, to work part-time (50%-80%) or full-time. The candidates must have great communication skills, responsible of planning, organizing, administrating office operations.

Responsabilities

  • Organizing administrative activities of the Mechelen office;
  • Handling general administrative tasks: mail, invoicing, arranging taxis, car fleet, etc.;
  • Controlling correspondence, complaints and queries;
  • Answering, screening and directing incoming calls;
  • Arranging appointments, apartments, accommodation, car rentals;
  • Coordinating schedules, appointments and bookings;
  • Preparing expense reports, managing petty cash;
  • Planning and implementing office systems, layouts, and equipment procurement.
  • Recording office expenditure and managing the budget;
  • Organizing and assisting meetings when required;
  • Drafting, issuing and translating documentation (contracts, certificates, statements);
  • Participating in business meetings and taking minutes of meeting when required;
  • Recruitment (in case the candidate is interested and suitable)
  • Handling HR related administration work;

Requirements:

  • Bachelor’s degree, preferably in administration or HR;
  • Fluent in English and Dutch;
  • Attention to detail;
  • Confident PC user, required knowledge, Excel, Word, PowerPoint;
  • Minimum 1-2 in a receptionist/administration position represents advantage;
